Privacy Statement – Recruitment
1. Introduction
This privacy notice explains how we at Rejlers process your personal data (“data”) during our recruitment process. To ensure a seamless experience, we use the Teamtailor platform as our main recruitment tool.
As data controller, we’re responsible for ensuring your data is processed legally. We collect and use your data to carry out the recruitment process primarily based on our legitimate interest and, in some cases, your consent. We want you to be informed and feel safe.
2. What personal data do we process?
We handle the data you provide or that we collect during recruitment. If you’re hired, we’ll also use your data for employment management. Here’s what we process:
• Contact and identification details such as name, address, email address and phone number;
• Language skills;
• Attached files;
• Education, certificates and other competences;
• Work history;
• Recommenders; and
• Other relevant information for the job.
We might also process video interviews and suitability assessments. You might also voluntarily provide additional data, which is not listed above.
3. How do we collect your personal data?
We collect your data when you:
• Fill out an application on our recruitment platform.
• Provide us with data through third parties such as LinkedIn.
• Communicate with our staff via the recruitment platform.
• Provide identifiable information via chat or on our website.
With your consent, we may collect data from your recommenders. For direct searches (“sourcing”), we might collect data from third parties like LinkedIn, but won’t store this data without your consent.
Our current employees can also recommend potential applicants. When they do, they provide information about these potential applicants and if the recommended person gives their consent, they are then considered an applicant under this privacy notice. We only collect and process data relevant to the recruitment process.
4. Why do we process your personal data?
We use your data to fill open positions and meet legal obligations. Our legal basis is your consent, our legitimate interest, performing contractual measures relating to our potential employment relationship and legal obligations in recruiting.
You have the right to withdraw your consent at any time by contacting us (details in Section 10). However, this might affect your ability to apply for jobs or use the recruitment platform. In certain cases, due to applicable law and our legitimate interest, we can still keep your personal data even if you withdraw your consent.
When legitimate interest is the legal basis for processing, we ensure that the processing is fair and meets your reasonable expectations.
5. Who has access to your personal data?
We do not sell or disclose data to third parties without a legal basis. We may share data with trusted service providers, including companies such as the recruitment platform provider, server and hosting companies, email service providers, video processing companies and other contractors and subcontractors involved in the recruitment. These providers only process your data according to our instructions and for the purposes mentioned in this privacy notice. We ensure that shared data is adequately protected and that contracts with these providers include sufficient data protection terms.
We may share aggregate data, such as internet traffic or location statistics, with third parties. This data does not identify individuals and is not considered personal data. We may also use non-identifiable data for combined analysis or market research.
Data may be also disclosed to authorities or other third parties if required by applicable law, enforceable official requests or suspected misconduct.
6. How long do we keep your personal data?
We keep your data only as long as necessary for its processing purpose or as required by applicable law. As a general rule, we keep your data for two years from sharing the notice of the recruitment decision. We must keep your data for at least one year to comply with equality and non-discrimination laws. You can request deletion after one year.
Please note that you may be of interest for future recruitments and we may store your data for this purpose until it is no longer necessary. Contact us if you don’t want your data stored for future opportunities. With your consent, we can keep your data longer than two years.
We can also keep your data longer if needed for legal reasons, such as claims, litigation, or internal investigations.
7. How do we protect your personal data?
We consider personal integrity a top priority and actively strive to keep your data safe. We take all reasonably expected technical and organizational measures to ensure that data is processed securely and protected from loss, accidental destruction, misuse, and unauthorized access or alteration in accordance with this privacy notice and the General Data Protection Regulation (GDPR), as well as other applicable legislation.
We protect our digital databases with firewalls, antivirus software, encrypted connections, and other standard security measures. Physical materials are stored in secure locations that unauthorized people do not have access to. Only our authorized employees who need to handle your data for their job can access it, and they do so in accordance with our instructions.
We transfer your data to service providers outside the EU/EEA only when necessary for the technical and practical implementation of data processing, such as when a service provider operates outside these areas. In such cases, we make sure they have appropriate safeguards and data protection measures in place.
8. Your rights
According to data protection legislation, you as an applicant have the right to:
• Request information about how we process your data;
• Access your data;
• Request that your personal data is corrected, amended or updated;
• Request deletion of data or restriction of processing;
• Withdraw consent (if processing is based on consent); as well as
• Request your data in a machine-readable format and transfer it to another controller.
The applicability and extent of the above-mentioned rights are determined on a case-by-case basis in accordance with applicable data protection legislation. You can exercise these rights by contacting us (details in Section 10). We may need to verify your identity before processing your request.
Please note that if we comply with your request to withdraw consent or restrict or delete personal data, you may no longer be able to receive services that you previously received, ordered, or requested.
If you feel that the processing of your data is not done legally, you have the right to file a complaint with the supervisory authority as per the table below.

We may at our sole discretion update this privacy notice occasionally. The latest version will always be available on our website or through the recruitment platform. We’ll notify you of significant changes via email or by updating the notice on our site and on the recruitment platform.
